Nonprofit Bookkeeping FAQ: Your Questions Answered

Updated: 2 days ago

If you're evaluating outside bookkeeping help for your nonprofit or mission-driven small business, here are the questions we hear most often.

Q: What does a nonprofit bookkeeper do that a general bookkeeper doesn't?

A nonprofit bookkeeper works in fund accounting instead of standard for-profit accounting — tracking restricted vs. unrestricted funds, coding transactions by program and grant, and producing the Statement of Activities and Statement of Financial Position that boards, auditors, and funders expect.

Q: How much does nonprofit bookkeeping cost?

Hornbill Books offers three all-inclusive tiers: Books at $600–750/month for monthly bookkeeping, reconciliation, and financial statements; Books+ at $1,100–1,350/month for higher transaction volume or added complexity; and Books Pro at $1,850–2,600/month for board reporting, budget management, grant and funder reporting, 990 prep coordination, audit support coordination, and fractional CFO-level leadership. Every tier is one flat monthly fee — no itemized add-ons.

Q: Do you work with QuickBooks Online?

Yes. Hornbill Books is built around QuickBooks Online and led by a certified QuickBooks ProAdvisor.

Q: Can you help with grant tracking and restricted funds?

Yes — grant and funder reporting is a core part of the Books Pro tier, and restricted fund tracking is built into how your books are set up from day one.

Q: Do you help nonprofits prepare for an audit or Form 990?

Yes. Books Pro includes audit support coordination and 990 prep coordination, so your books are ready before your auditor or tax preparer asks.

Q: How does onboarding work?

We start with a free intro call to learn about your organization and figure out which tier fits. From there, a paid Books Health Check ($450, credited in full toward onboarding if you sign within 30 days) gives you a plain-language diagnostic of where your books stand today. Once you're ready to move forward, we connect your accounts and software, review your books, and get everything current — then we handle monthly reconciliation and reporting.

Q: Do you only work with nonprofits, or small businesses too?

Both. Hornbill Books works with nonprofits and mission-aligned small businesses that want the same level of clean, fund-aware bookkeeping.

Q: Is Hornbill Books virtual, or local to a specific area?

Hornbill Books is a virtual bookkeeping service based in Greensboro, NC, working with clients remotely.
